GALAXY MOBILE SRL, Rue de l’Autonomie 14A, 1070 Anderlecht, Belgium (company number 0799.316.325) is responsible for the personal data processed through gmmobileparts.com. Contact: info@gmmobileparts.com.
Our website is reserved for professional customers. This policy applies to the personal data of the people who work for them, and of anyone who contacts us.
What data we collect
- Trade account application: company name, VAT number, first and last name, work email address, password. Your password is stored in a form that we cannot read.
- Orders: billing and delivery addresses, phone number, order history, invoices.
- Customer service: the messages you send us by email, contact form or WhatsApp.
- Product reviews: your name and your review.
- Technical data: IP address, browser type and pages visited, recorded in server logs to run and secure the website.
If you pay online, your payment is processed directly by our payment service provider. We do not store card details.
Why we use your data
- To review your trade account application and check that you are a business, including your VAT number (for example through the European Commission’s VIES service). Legal basis: steps prior to a contract, and our legitimate interest in selling to professionals only.
- To process, deliver and invoice your orders, and to handle returns and warranty claims. Legal basis: performance of our contract.
- To keep accounting and tax records. Legal basis: legal obligation.
- To answer your questions. Legal basis: performance of our contract and our legitimate interest.
- To publish your product reviews. Legal basis: our legitimate interest in sharing customer feedback. You can ask us to remove your review at any time.
- To keep the website secure and prevent fraud. Legal basis: our legitimate interest.
- To send you information about our products and offers by email. Legal basis: our legitimate interest as your supplier. You can unsubscribe at any time using the link in each email.
Trade account applications are reviewed by a person. We do not make automated decisions about you.
Who receives your data
We never sell your data. We only share what is necessary with the service providers who help us run our business:
- our hosting provider;
- our email provider;
- our shipping platform and carriers, to deliver your orders;
- our payment service providers;
- our accountant.
We may also disclose data when the law requires it.
Transfers outside the European Economic Area
Some of our providers may process data outside the European Economic Area. In that case, we make sure appropriate safeguards are in place, such as a European Commission adequacy decision or standard contractual clauses.
How long we keep your data
- Account data: as long as your account is active, then deleted 3 years after your last order or login.
- Refused or incomplete applications: deleted after 12 months.
- Orders and invoices: for the period required by Belgian accounting and tax law.
- Customer service messages: 2 years after our last exchange.
- Server logs: for a short period, for security purposes.
Security
Our website uses an encrypted connection (HTTPS). Only the people who need your data can access it.
Your rights
You have the right to access your data, correct it, delete it, restrict or object to its use, and receive a copy in a portable format. To exercise these rights, email info@gmmobileparts.com. We will reply within one month.
You can also lodge a complaint with the Belgian Data Protection Authority: www.dataprotectionauthority.be.
